These Terms & Conditions outline the rights, responsibilities, and expectations for participants in the Family Sanctuary Summer Program. By enrolling your child(ren), you agree to abide by the following:
1. Program Eligibility & Registration
1.1 The program is open to children aged 3 to 12 years.
1.2 A completed membership registration form and payment (if applicable) are required before participation.
1.3 Spaces are limited and allocated on a first-come, first-served basis.
2. Attendance & Participation
2.1 Parents/guardians must select and confirm their child’s attendance dates in advance.
2.2 If a child is unable to attend, 24 hours’ notice is required for rescheduling (subject to availability).
2.3 Family Sanctuary reserves the right to adjust session activities as needed based on weather, staffing, or unforeseen circumstances.
3. Fees & Payment
3.1 A membership fee is required to access discounted program rates.
3.2 Fees for specific activities or sessions must be paid in advance unless a financial assistance arrangement is made.
3.3 Refund Policy: Refunds are only issued in cases of program cancellation by Family Sanctuary or for medical reasons with supporting documentation.
4. Drop-Off & Pick-Up Policy
4.1 Children must be signed in and out by an authorized guardian each session.
4.2 Parents must pick up their child on time—a late fee may apply for pick-ups more than 15 minutes after the session ends.
4.3 Written consent is required if someone other than the authorized guardian is collecting the child.
5. Safety & Wellbeing
5.1 The program maintains a safe and supervised environment with trained staff and volunteers.
5.2 Any medical conditions, allergies, or special needs must be disclosed upon registration.
5.3 Parents must provide any necessary medication along with a completed medical authorization form.
5.4 In case of an emergency, Family Sanctuary will follow established safety protocols and contact the guardian immediately.
6. Code of Conduct
6.1 Children are expected to treat staff, volunteers, and other participants with respect at all times.
6.2 Bullying, aggressive behaviour, or repeated disruptions will result in a review of the child’s participation.
6.3 Parents are expected to communicate respectfully with staff and follow program guidelines.
7. Photography & Media
7.1 Photos and videos may be taken during sessions for promotional purposes.
7.2 Parents who do not wish for their child’s image to be used must indicate this on the registration form.
8. Liability & Insurance
8.1 While Family Sanctuary takes every precaution to ensure safety, participation in activities is at the parent’s own risk.
8.2 Family Sanctuary is not liable for lost or damaged personal belongings brought to the program.
9. Program Changes & Cancellations
9.1 Family Sanctuary reserves the right to modify schedules or cancel sessions due to unforeseen circumstances (e.g., weather, staff shortages).
9.2 Parents will be notified as soon as possible in the event of changes.
10. Agreement to Terms
By enrolling your child in the Family Sanctuary Summer Program, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
